Vendor Information

The Cloverdale Flea Market is an event which is open every Sunday to the public to provide a showcase for goods and services. As such, the standards governing the market must be of a high level. Galaxy Events Ltd. (referred to as “Event Management”) and its representatives reserve the right to refuse space to and/or of anyone whose products, displays or conduct are not, in the opinion of Event Management, compatible with the general character and objectives of the event. All decisions concerning allocation of space, the nature and mix of vendors, the acceptance or non-acceptance of application to be a vendor are within the sole discretion of Event Management.

Indoor Tables

Indoor tables range from $26.00 to $28.00(wall table) for a day. They measure 6′ long by 30″ wide. 1 table and 2 chairs are included.

We can reserve tables for inside and start booking one week in advance. We take phone messages starting Mondays after 8:00am. If you call Monday, leave one voicemail and we’ll get back to you late afternoon Tuesday to book you in. You can call us at any time during the week to book for available tables.

Table reservations are payable by eTransfer to info@cloverdalemarket.ca

Table payments by eTransfer are non-refundable and non-transferable.

Outdoor Spaces

Outdoor spaces (roughly 10′ by 18′) are $30.00. Outdoor vendors need to supply their own tables, chairs, tents, etc… * We do carry a limited supply of rental tables which are $8.00 each.  We do not rent chairs or tents.

Outdoor stall fees are collected the day of the event.

We do not reserve outdoor spaces, it is all first-come first-served. When you come into the market you look for an available space or ask our staff to help find you a spot.

Outdoor vendors with permanent numbers will be allowed in first at the 4:00 am opening. Monthly priority number vendors will follow. All other vendors will be admitted based on their place in the line. If you require a line-up map of the parking lot for the 4:00 am entry, please email us and request one.

Vendor Area (outdoor)

It is the vendor’s responsibility to ensure that all poles, tarpaulins, signs, display materials, merchandise and any other items be adequately secured at all times in such a manner to avoid causing any injury or damage to persons or property under any type of weather conditions

Cleaning

Each vendor must keep their space and the surrounding area clean and free of any debris. Site garbage receptacles are for the use of customers only. All vendors must remove everything they’ve brought in. No dumping of leftover products.

Set-up

Our gates are open from 4:00am to 8:00am for incoming vendors. We close the gates to all vehicle traffic at 8:00am and don’t open them up again till 3:00pm. Vehicles are not allowed to drive on the grounds between 8:00 am and 3:00 pm.

All indoor and outdoor vendors are required to be set up no later than 8:00 am.

Pack-up

No packing up until 3:00 pm for all indoor and outdoor vendors. Contact Event Management if you need to leave earlier than 3:00 pm.

Prohibited Items

Space is assigned solely for the display, sale, and/or exchange of approved merchandise or services. Event Management, at its sole discretion reserves the right to prohibit the display, sale, and/or exchange of any item or service. Items or services which are prohibited and may not be sold, displayed, or advertised include, but are not limited to, the following:

  • Alcoholic beverages,
  • Any food items without prior management approval
  • Medicines, drugs, vitamins, health supplements, diet aids and other similar health aids,
  • Drug paraphernalia
  • Pornographic items
  • Guns, weapons, or ammunition of any kind (including toy guns, water guns, B-B guns and cap guns),
  • Live pets or animals of any description,
  • Endangered species products of any description,
  • Any item or service, the manufacture, use or sale of which constitutes infringement of any valid patent, trademark or copyright of another, knock- offs, counterfeit item or items involving a misrepresentation of any kind. Vendors will be required to provide paperwork to prove authenticity of any items.
  • Illegal/stolen merchandise of any kind,
  • Any other item or service which at the sole and absolute discretion of Event Management may be hazardous or otherwise objectionable.
  • Receipts or proof of ownership required for all products.

Liability

By participating in the Cloverdale Flea Market, the vendor agrees to release, discharge, hold harmless and forever acquit Galaxy Events Ltd. and their officers, agents, representatives and employees from any and all actions, causes of actions, claims, or any liabilities whatsoever, known or unknown, now existing or which may arise in the future, on account of or in any way related to, or arising out of, participation in the market, including but not restricted to any loss, damage, injury or expense. Further, the vendor assumes all liabilities for his/her employee(s), helper(s), or any accompanying non-participant(s)
